LogicOCR ("we", "us", "our") provides optical character recognition (OCR), document scanning, and automated form-filling solutions. This Privacy Policy describes how we collect, process, and protect information when you use our website (logicocr.com), API, Customer Portal, and the LogicOCR Desktop Scanner Chrome Extension.

1. Single Purpose & Data Processing

LogicOCR operates with a single purpose: to extract text and details from user-submitted identity documents (such as passports, driving licences, and identity cards) and assist in filling web registration forms.

We process document images and extracted text solely to perform the scanning and form-filling operation requested by the user or subscribing business.

2. Zero Document Retention (Transient Processing)

We adhere to a strict data minimization and zero-retention policy for sensitive document data:

• In-Memory Processing: Document images and extracted identity details are processed transiently in volatile server memory (RAM) only for the duration required to complete the OCR extraction.
• No Permanent Storage: We do not store, archive, or retain original document photographs, document portraits, or extracted personal identity records on our permanent storage systems. Once the OCR result is transmitted back to the client session, the data is immediately discarded from memory.
• Local Recipient Control: A business or user receiving the scan result into their local application or form controls their own copy under their own applicable privacy policy and records retention rules.

3. Account, Administrative & Usage Data

Separate from document content, we collect and retain necessary account and administrative information to provide our service:

• Account Details: Business name, contact name, email address, password hash, and API credentials created during registration.
• Service Metadata & Quotas: Billing records, credit balances, aggregate scan volume counts, and security access logs (such as IP addresses and timestamps) to prevent abuse and protect infrastructure security.

This administrative information is retained only as long as your account remains active or as required by applicable legal and accounting obligations.

4. Chrome Extension Disclosures & Permissions

The LogicOCR Desktop Scanner Chrome Extension complies fully with the Chrome Web Store User Data Policy, including the Limited Use requirements.

The extension requests the following browser permissions strictly to perform its core functions:

• activeTab & scripting: Used solely to inject the extracted text fields into web forms on the active webpage selected and authorized by the user. The extension does not inspect, read, or track browsing history outside the active user-initiated action.
• storage: Used locally on your device to store your extension preferences, session keys, and device pairing identifiers.
• sidePanel: Used to display the scanner workflow, camera interface, and paired device controls conveniently alongside your browser tab.
• notifications & alarms: Used to notify the user when a paired scan is received and manage secure session expiration.

5. Third-Party Sharing & Transfers

We do not sell, rent, monetize, or trade user data or document information to third parties, data brokers, or advertisers under any circumstances. We do not use user document content to train public AI/machine learning models without explicit consent.

Data may be processed by trusted infrastructure service providers (such as Amazon Web Services for encrypted cloud hosting and authenticated email dispatch) strictly bound by confidentiality and data protection agreements.

6. Security

All data transmitted between the client browser, extension, and our processing infrastructure is encrypted in transit using industry-standard TLS (Transport Layer Security) encryption. Administrative systems are protected by multi-factor authentication and role-based access controls.
